Comparing Procore Alternatives on Pricing, Project Data and AI
Comparing Procore Alternatives on Pricing, Project Data and AI

Disclosure: this is a guest article featuring INGENIOUS.BUILD. Competitor features and prices come from each vendor's own pages and documentation, checked October 26, 2026.
Picture a tenant-improvement job. The general contractor prepares a change order with backup pricing, the architect holds the revised drawing and the owner's representative approves the amount. When the owner's project manager asks for the current status, the answer depends on whether the software can see all three companies' records, and on what that software costs as the team and the backlog grow.
This guide compares Procore with four alternatives on exactly those points: pricing model, data shared across project companies, AI and assistant access and permission controls. Details come from vendor documentation reviewed in October 2026.
Comparison at a glance
| Platform | Pricing basis | Data across project companies | AI approach |
|---|---|---|---|
| Procore | Annual fee by product, based on Annual Construction Volume; unlimited users | Each company's project data sits in its own account; outside parties can be invited in as users | Separate Digital Coworker package; credits on Pro and Enterprise |
| INGENIOUS.BUILD | Per user; collaborators invited free | Company workspaces connect on the project; shared data arrives live | Built-in AI for every user; MCP server in Pro; no credits |
| Fieldwire | Per user; free Basic tier, paid tiers from $39 per user per month billed annually | Field teams share plans, tasks and punch lists | Field Intelligence AI, with several features still in beta |
| CMiC | Quote-based by modules, users and deployment | Single database with portals for owners, architects and subcontractors | Markets itself as an AI-powered construction ERP |
| Buildertrend | Company-level plans with unlimited users; quoted after a demo | Client and subcontractor access built around the builder's account | AI built into its workflows, such as client updates and document extraction |

Pricing models compared
Compare pricing units before comparing totals. The model decides how your bill moves as headcount, backlog and AI use change.
Procore: construction volume. Procore sets an upfront annual fee by product, based on Annual Construction Volume, with unlimited users and unlimited data storage. Win bigger jobs and the fee rises, even if the team stays the same size. AI is a separate Digital Coworker package. Starter is a flat-fee, six-month pack for up to three projects with unlimited use and five prebuilt agents. Pro and Enterprise bill in credits from a shared pool, including 3 credits per gigabyte of indexed project data per day, and credit-consuming AI features pause after a short grace period once the pool runs out, until the credits refresh.
INGENIOUS.BUILD: per user, collaborators free. Cost follows the people on your team rather than the value of the work, and outside collaborators are invited free. Built-in AI comes with every plan, and the MCP server is included in Pro, with no credits or per-use metering.
Fieldwire: per user, tiered. A free Basic plan covers small teams of up to five users and three projects. Paid tiers start at $39 per user per month billed annually, and RFIs, submittals, change orders and budgets sit on the top Business Plus tier at $89 per user per month.
CMiC: quoted enterprise ERP. CMiC does not publish list prices. Quotes depend on the modules selected, user counts and deployment option.
Buildertrend: company-level plans. Plans include unlimited users and projects at a flat company rate, but Buildertrend no longer publishes a rate card, so pricing comes after a demo.
Data shared across project companies
Back to the change order. The owner's project manager needs the contractor's latest shared version, not an older uploaded copy, and only the parts their role is allowed to see.
Procore. Procore AI works within a single company's Procore account and follows that account's permissions. Because Procore licenses unlimited users, an architect or subcontractor can be invited onto the project to work directly in that account, but records they keep in their own company's systems reach the AI only once someone brings them in.
INGENIOUS.BUILD. On INGENIOUS.BUILD, the owner, developer, GC, architect, engineer and vendor workspaces connect on the project. Data each party shares arrives live and structured with no uploads, and both the built-in AI and any assistant connected through MCP read it within the asking user's role, workspace and record-level permissions.
Fieldwire. Built for jobsite coordination, with tasks tied to plans, locations, photos and messaging for field crews and office staff.
CMiC. Runs financials, project management and field operations on a single database, with collaboration portals for owners, architects and subcontractors and one login across projects. For how it compares with other accounting-first systems, see our construction ERP comparison.
Buildertrend. Centers on the builder's account, with subcontractors invited in to access basic features at no cost.

AI and assistant access compared
Model Context Protocol (MCP) is a connection standard that lets an AI assistant reach data and tools in another system. Direction matters: a platform can offer its own MCP server for outside assistants to connect to, or its embedded AI can connect out to someone else's server.
Procore. Procore made its Digital Coworker packages generally available on July 23, 2026: Starter with five agents, Pro with 20 and Enterprise with 25+ agents plus Agent Studio. Its embedded AI, powered by Datagrid, can call tools on external MCP servers, a capability Datagrid documents as beta. Procore's public documentation does not list an official MCP server that a team's own assistant, such as Claude or ChatGPT, can connect to; third-party and community connectors to Procore's API do exist.
INGENIOUS.BUILD. Built-in AI comes with every plan for every user, including collaborators invited free, and reads invoices, contracts and drawings, imports Excel budgets and summarizes email. In Pro, a native MCP server lets Claude, ChatGPT, Gemini or any MCP-compatible assistant read, write and act on project data shared with you, connected through OAuth 2.0.
Fieldwire. Field Intelligence AI searches plans, tasks, photos and forms to answer questions from the field. Several features are still in beta, so confirm which plan includes them.
CMiC. Positions itself as an AI-powered construction ERP built on its single database.
Buildertrend. Buildertrend's AI is built into its existing workflows rather than sold as a separate product: it drafts client updates from daily job inputs, extracts data from construction documents and organizes specifications and plan sets to start the submittal process. Buildertrend acquired BizJet AI in July 2026 to expand that work.
Integration is not a side issue. In RICS's AI in Construction 2025 report, based on more than 2,200 responses, 37% of respondents named system integration as a barrier to adoption.
Permissions and approvals
Separate four decisions before testing any platform: who can open a source record, who can connect an assistant or enable an agent, whether the AI can create or change records and who approves a change before it is saved.
Procore. Procore AI follows the user's existing Procore permissions, so a user can never use it to reach data they are not already authorized to see. A Company Admin enables projects and users for Procore AI, and enabling a project cannot be undone.
INGENIOUS.BUILD. Built-in AI and the MCP server inherit each user's role, workspace and record-level access, so there is no separate access list to govern. An Admin chooses which account types can use the MCP server, and revoking a user removes the AI's access the same second.
Fieldwire, CMiC and Buildertrend. Ask each vendor how its user roles apply to AI features and to partner companies invited onto your projects, and have it demonstrate the answer on a restricted account.
A controlled test. Create two accounts, one allowed to see a sensitive record such as subcontractor pricing and one restricted from it. Ask both the same question, then revoke the first account's access and ask again. The restricted account should never receive the content, and the revoked account should lose it immediately.
Which platform fits which team
Multi-company projects that want predictable pricing: INGENIOUS.BUILD, for per-user pricing with free collaborators, live data shared across every company on the project and AI with no credits.
Teams already running projects in Procore: Procore, if the agents and underlying tools you need fit a Digital Coworker package and your budget can absorb credit-based AI on Pro or Enterprise.
Field-first crews: Fieldwire, for plan-linked tasks, punch lists and inspections, with transparent per-user tiers and a free entry plan.
Large contractors that want accounting and project management in one system: CMiC, for financials, job costing, payroll and project management on a single database.
Residential builders and remodelers: Buildertrend, for company-level plans with unlimited users built around the builder's own account.
Acceptance checklist before signing
Request quotes for the same scope from every shortlisted vendor: paid internal users by role, outside collaborators, required modules, the AI package or tier, included usage and overage charges, any external assistant fees, integration and onboarding services and renewal terms. Ask for annual totals at expected and heavier use.
Then have each vendor complete these steps on your own project documents:
- Draft an RFI from meeting notes and check that it cites the correct sheet and specification.
- Have the owner, GC and architect each share a record, then confirm the AI reads the current version.
- Run the restricted-account test and confirm revoked access disappears immediately.
- Propose a record change, approve it and check the saved result.
- Supply the written quote with every assumption stated.
People matter as much as features. The same RICS report found that 46% of respondents saw a lack of skilled personnel as a barrier, so name an owner for setup and for reviewing AI output. Treat the switch as a phased digital transformation project, starting with one live job before rolling out across the portfolio.
Final take
If your reasons for looking beyond Procore are a fee that climbs with construction volume and AI limited to your own company's account, INGENIOUS.BUILD is the comparison point to start with: per-user pricing with free collaborators, live data shared across every company on the project and built-in AI without credits.
Fieldwire suits field-first crews, CMiC fits large contractors that want ERP and project management on one database and Buildertrend serves residential builders. Whichever you shortlist, price the same scope, test sharing on a live project and confirm how each platform keeps people in control of AI-made changes.
