What is Cisor Consulting?
Cisor Consulting is a small consulting firm that handles the business side of running a dental or medical practice. Its own summary is that it is "a hands-on consulting partner for dental & medical practices across Northern Virginia," bringing "enterprise-level expertise to management, accounting, marketing and staffing." In plain terms, it is the kind of outside help a practice owner calls when the clinical work is going fine but the books, the hiring, the marketing or the office systems are not.
Three ideas come up again and again on its pages:
- Hands-on, not just advice. The firm says it works "as your trusted partner" and stays involved to put systems in place and train staff on them, rather than handing over a report and leaving.
- Analysis first. It says every engagement starts with an in-depth analysis of the practice, using what it calls Cisor Metrics (its own set of key performance indicators built from your financial statements and bank transactions).
- Custom plans. The services page says there are "no templates and no one-size-fits-all."
The website calls itself a dental and medical practice consultancy. In practice, its detailed service pages are written for dental practices: dental accounting, dental marketing, dental staff, dental office construction, dental associates and dental students. Its Systems Development page also speaks to contractors and other small businesses, and the only client testimonial on the site comes from a remodeling company. If you run a medical (non-dental) practice or another kind of business, ask how much of its work is in your field.
Who runs Cisor Consulting?
The About page ("Top Business Consultants") names four people:
| Name | Title on the site | What the site says |
|---|---|---|
| Payam Ghorbani | President | His quoted view is that consulting means "developing a comprehensive business strategy as a team" and making decisions that serve the whole strategy, not one part of the business. |
| Zarmina Warrenfeltz | Vice President | Described as having "an extensive background in Project Management and Marketing." She helps practices create and implement a streamlined process and supports staff through transitions. |
| Stan Horvat | CTO | Builds the firm's information systems; his stated goal is systems that are "dependable, affordable, & support free for years to come." |
| Dr. Massood Zadeh | Accounting lead | Leads on accounting; his quoted line is that the firm doesn't just provide accounting but uses it "for decisive actions." |
The site does not publish a full staff list, biographies with education or past employers, or license numbers. CPA licenses in Virginia are public through the Virginia Board of Accountancy's license lookup, so if you are hiring the firm for tax or accounting work, you can check the license of the person who will sign your return there.
Is Cisor Consulting legit?
People ask this about any consultant before handing over their books. Here is what you can see for yourself:
- A named leadership team. The site names its president, vice president, CTO and accounting lead (see above).
- Published contact details. A Fairfax street address (4024 Wethers CT, Fairfax, VA 22030), a local phone number, (703) 345-0606, and an email address, info@cisorconsulting.com, appear on every page.
- A named project. The construction consulting page says Cisor's consultation and planning supported the build of Shield Dental Care, which its lead contractor, H&C Construction, designed and built "from the ground."
- One published testimonial. Luis Huanca of H&C Construction, a remodeling company, writes that his company hired Cisor about a year and a half earlier to work on long-term goals, and that it now has "systems in place that have freed up my time." It is the only client review on the site, and it comes from the same company the construction page names as its lead contractor. The testimonials page invites other clients to send their stories.
- Published staffing terms. Unusually for a consultancy, it publishes the fee structure for its temporary staffing service and says who is the employer under each option (see below).
The site does not publish a founding year, a client count, or third-party review profiles. The most useful check is the ordinary one for any consultant: ask for two or three references from dental practices similar to yours, and ask who exactly will do your work.
What services does Cisor Consulting offer?
The services page lists eight areas. Each has its own page, covered in more detail in the sections that follow.
| Service | What the company says it covers |
|---|---|
| Dental Practice Management & Systems Operations | Operations, workflows and software training; scheduling and billing; insurance negotiations and credentialing; HR; inventory and equipment management |
| Accounting & Bookkeeping | Dental-specific accounting, payroll, daily bookkeeping, financial reporting, tax planning, preparation and compliance |
| Dental Marketing | Website design and development, SEO, pay-per-click (Google Ads), email automation, social media, content and referral programs |
| Staff Recruitment & HR | Recruitment, onboarding, HR documentation, internal recruiting and staff development |
| Dental Staffing | Temporary and permanent placement of dental assistants, hygienists, receptionists and office managers |
| Construction Consulting | Planning and cost control for building or expanding a dental office, working alongside contractors |
| Associate & Career Consulting | Career plans, contract negotiation and financial planning for dental associates; mentoring and interview prep for dental students |
| Cisor Metrics & Analysis | A statistical review of the practice's numbers, systems and staff, used to set KPIs and an action plan |
There is also a Systems Development page, which describes the same systems-building approach for businesses beyond dentistry, including contractors.
Practice management and systems
This is the core of what Cisor sells. The practice management page starts from the idea that owning a practice means being good at much more than dentistry: growth strategy, team leadership, marketing, communication, systems and bookkeeping. Cisor offers to cover those business functions. According to the page, its guidance includes:
- Practice scheduling and billing
- Insurance negotiations and credentialing
- HR management and training
- Marketing and social media
- Inventory and equipment management
- Increasing overall patient satisfaction
The firm says it starts by listening to your challenges and goals, then designs a program "based on our Cisor metrics formula." It also says it will assess staff efficiency, client management and the practice's reputation, and then address the issues that hold productivity back.
Systems development. A separate page explains how Cisor builds and installs systems. It lists the work as ranging "from HR structuring to software and hardware installation, workflow automation to management," and describes three steps:
- Understanding the strategy. Work out the business's short- and long-term objectives. The firm says it puts weight on referral-based sales and client-relationship management.
- Implementing the systems. Decide which systems fit those goals, install them, and train the team to use them.
- Evaluation and modification. Give feedback on how well the systems are working and adjust them over time with owners and staff.
The page says this "requires us to stick around," which fits the firm's hands-on pitch. If you want a defined project with an end date rather than an open-ended relationship, say so at the start.
Dental accounting, bookkeeping and tax planning
Cisor's accounting pages are the most detailed on the site. The pitch is that a normal income statement shows total income and expenses but little else, and that Cisor uses accounting to advise on decisions. According to the company, the service includes:
- A custom chart of accounts, set up after reviewing your finances, so each revenue, asset and expense line shows its effect on the practice.
- Daily bookkeeping, described as "daily, up-to-date dental practice bookkeeping," plus payroll and financial reporting.
- KPIs built from your statements and bank transactions, to find the areas that need attention.
- Income-mix analysis: what percentage each type of income contributes, compared with its associated expenses.
- Cost review: finding charges and accounts that don't pay their way. The site's own example is that patients who pay by Zelle or check instead of credit card cut merchant fees.
- Invoicing systems: building a claims and patient-billing system and training staff to process claims and talk to insurance companies.
- Comparisons with your own prior years and with competitors.
- Tax planning, preparation and compliance for dental practices.
The bookkeeping page says the firm has "over 7 years of experience in providing dental bookkeeping services and tax planning." Bookkeeping (keeping the day-to-day records) and accounting (analysis and reporting built on those records) are sold as separate pages but described as working together.
Tax planning depends on your own situation. This guide is not tax or financial advice; talk to a licensed CPA or tax professional about your practice.
Cisor Metrics: the practice analysis
"Cisor Metrics" is the firm's name for its analysis method, and it underpins most of the other services. The practice analysis page describes four areas it looks at:
| Area | What the site says it examines |
|---|---|
| Experience in dentistry | Market changes and which solutions suit your practice; the page cites "over 15 years of experience in the dental consulting industry" |
| Business systems | Management and accounting systems "from payroll to sales" |
| Statistics | Key Performance Indicators (KPIs) for the practice, and fluctuations in revenue or business ratios |
| Human capital | Each employee's skills and specialties, and whether they are assigned to the right tasks |
The firm says the metrics it tracks range "from mandatory ones to those that enable us to track levels of efficiency, profits, savings, and complaints," and that it looks beyond the numbers at how your systems actually run. It also makes a point about control: when changes are needed, it says it will explain them, and "your final decision will take precedence."
Dental marketing
Cisor offers marketing as part of the same package. The marketing page lists:
- Website development and ongoing maintenance, working "with media experts"
- Search engine optimization and search engine marketing, with an emphasis on reaching qualified patients rather than raw traffic
- Google Ads campaigns linked to landing pages
- Email marketing automation for patient communication
- Social media profile setup and management
- Content marketing: what content to use, which patients to target, which platforms to use
- Referral programs built around the practice's existing patients
- Community relations (named on the services page)
The firm ties marketing back to its analysis: it says it uses Cisor Metrics and dental market research "to identify the areas of marketing you need or don't need," and aims to keep the marketing budget reasonable. Leads from the website and referrals are routed into a follow-up system that Cisor says it can design and set up for the practice.
Staff recruitment and the staffing service
Cisor offers two related services: helping a practice hire and develop its own team, and acting as a staffing agency.
Recruitment and development. The recruitment page leans toward internal recruiting: promoting and training people you already employ before hiring from outside, which the firm says saves time and money. Its approach is skills-based (it suggests judging people on their skills rather than their work history), and it offers help with learning programs and rewards, compensation and retention systems, onboarding and HR documentation.
Staffing agency. The Dental Staffing page says Cisor places dental assistants, hygienists, receptionists and office managers, on a temporary or permanent basis. It says it "carefully screens and credentials" staff. For temporary assignments it publishes two options:
| Option | Who employs the worker | Published fee |
|---|---|---|
| Referral based | Your practice. You pay the worker directly and are responsible for payroll taxes and reporting, workers' compensation, and unemployment and malpractice claims. | $69.00 daily placement fee |
| Payroll based | Cisor. It pays the worker and covers payroll taxes and reporting, workers' compensation, and unemployment and malpractice insurance. Includes a national criminal records background check and applicable state-mandated clearances. | Temporary worker's hourly wage + 25% for payroll processing |
Fees for permanent placement are not published, so ask for them before you agree to an introduction.
Building or buying a dental practice
New offices and expansions. The construction consulting page is aimed at dentists building their own office, including associates planning their first practice. Its argument is that "dental practice management begins during construction." The company lists the work it does alongside the builder:
- Estimating and tracking construction costs and trying to keep them down
- Securing contracts with builders and negotiating fees
- Coordinating with contractors and project managers so the office opens on time
- Starting network contracts with insurance providers and handling insurance claims
- Scheduling the first patients
- Hiring and training the team before opening
- Designing the office layout for efficient daily operations
Cisor is not itself the builder: the page says it partners with contractors, and names H&C Construction as its lead contractor on the Shield Dental Care build. The page notes that cost depends on size, location, and whether it is new construction or a build-out of existing space, and does not give dollar figures.
Buying an existing practice. The practice management page says Cisor can help a dentist find a practice to buy, from "finding the right location, to evaluating the overall practice price, to financing, and closing the deal," and then with transition work such as credentialing, systems training, employee management and insurance transfer.
Help for dental associates and dental students
Cisor also works with individual dentists, not only practice owners.
Dental associates. The associate careers page offers a career action plan covering job placement, continuing education (CE) course management, practice management, accounting and financial planning, and skills development. It also offers contract negotiation. The points it says it reviews in an associate offer are:
- W-2 employee or independent contractor
- Salary or commission
- Benefits (insurance, vacation, sick time)
- Patient volume
- Office support staff
It also offers financial planning aimed at a later move into practice ownership.
Dental students. The student page says Cisor works with dental students "starting in their fourth year of dental school." Services listed are skills assessment, SMART goal setting, mentoring, networking, interview preparation (including judging whether a practice fits your goals) and financial planning around student debt.
Cisor is not a law firm. For the legal reading of an employment contract, the usual route is an attorney who handles dental or healthcare employment agreements.
Where is Cisor Consulting and what areas does it serve?
The address on the site is 4024 Wethers CT, Fairfax, VA 22030. The footer describes the firm as "Dental & Medical Practice Consulting · Fairfax, Virginia," and the home page names Fairfax, Loudoun and Arlington as its core area.
The site has location pages for Alexandria, Annandale, Arlington, Ashburn and Manassas, all in Northern Virginia. The locations page says it works with practices across the region and invites you to ask if your town isn't listed. The site does not say whether it takes clients outside Virginia.
How meetings happen. The contact page invites you "to schedule a call or virtual meeting." It doesn't describe walk-in visits or office hours, so arrange any in-person meeting ahead of time. Much of the work (practice analysis, systems setup, staff training) is described as done with you and your team, so expect some time at your practice.
Hours are not published. Call (703) 345-0606 or email info@cisorconsulting.com.
How much does Cisor Consulting cost?
Cisor does not publish prices for its consulting, accounting, bookkeeping, marketing, construction or career services. Every engagement starts with an analysis and a custom plan, so the fee is set per client after a consultation. The only published prices are for temporary staffing:
| What you buy | Published price | Notes |
|---|---|---|
| Practice consulting, management, systems | Not published | Quoted after a consultation |
| Accounting, bookkeeping, payroll, tax | Not published | Ask whether it is a monthly fee or billed per task |
| Marketing | Not published | Ask whether ad spend is included or billed separately |
| Temporary staffing, referral based | $69.00 per day | Daily placement fee; your practice employs and pays the worker |
| Temporary staffing, payroll based | Worker's hourly wage + 25% | Cisor employs the worker and covers payroll taxes, workers' comp and insurance |
| Permanent placement | Not published | Ask before an introduction |
Worked example (staffing). Under the payroll-based option, a temporary assistant paid $25 an hour would cost the practice $25 plus 25% ($6.25), or $31.25 an hour. The $25 wage here is our example, not a Cisor figure. Under the referral option you would pay the $69 daily fee and the worker's pay separately, and carry the employer responsibilities yourself.
What affects consulting fees. The site doesn't say, but scope usually drives it: how many services you use, whether bookkeeping is daily or monthly, how many staff and locations you have, and whether you need one-off help (such as a build-out) or an ongoing relationship. Ask for a written scope and fee before work starts.
Insurance and financing. These don't apply in the usual sense: Cisor is a business consultant, so its fees are a practice expense, not something a patient's insurance covers. It does help practices with insurance credentialing and negotiations as part of its services.
How an engagement works, step by step
The home page summarizes the process as Analyze, Tailor, Grow. Put together with the service pages, a typical engagement looks like this:
- Get in touch. Call (703) 345-0606, email, or use the consultation form on the contact page. The form asks for your name, phone, email, an optional topic (each service is listed) and a short message.
- Consultation. A call or virtual meeting about your goals and problems. The firm says it starts "by listening to your challenges and goals."
- Analyze. Cisor reviews your operations, numbers and team. For accounting work, that means your books, financial statements and bank transactions; for the Cisor Metrics analysis, it also means your systems and staff.
- Tailor. Cisor builds a custom plan aimed at the issues it found.
- Implement. The firm works "hands-on alongside you" to set up systems, software, processes and reporting, and trains your staff on them.
- Review and adjust. It monitors how the changes work, reports KPIs, and changes course where needed. It says your decision is final on any change.
For staffing, the steps are shorter: tell Cisor the role and dates, pick the referral-based or payroll-based option, and confirm who is the employer of record.
How it compares with other options
| Option | What you get | Typical trade-off |
|---|---|---|
| Cisor Consulting | One local firm for management, accounting, marketing, staffing and construction planning, with ongoing hands-on involvement | Fees not published; a small team covering many areas, so ask who handles each one |
| A national dental consulting company | Standard programs, training curricula and benchmarks from many practices | Often more structured and less local; may not do bookkeeping or staffing |
| A CPA firm that focuses on dentists | Accounting, tax returns and sometimes practice valuation | Usually doesn't run marketing, hiring or office systems |
| A dental marketing agency | Websites, SEO, ads and reviews | Marketing only; no view of your books or staffing |
| A dental staffing agency | Temporary and permanent hires | Placement only; no wider consulting |
| Hiring an in-house office manager | Someone on site every day | A full salary, and one person's skill set |
| Doing it yourself | Full control, no fees | Takes time away from patients; easy to miss problems in the numbers |
Who it suits, and who should look elsewhere
A good fit if you…
- Own or are opening a dental practice in Northern Virginia
- Want one firm to look at your books, systems, staff and marketing together
- Are planning a new office or build-out and want help with budget, contractors and opening-day setup
- Need temporary dental staff and want the option of the agency acting as employer
- Are a dental associate or fourth-year dental student who wants help with contracts, career plans or finances
- Prefer an ongoing, hands-on relationship over a one-time report
Look elsewhere if you…
- Want published, fixed prices before your first call
- Are far from Northern Virginia and need someone on site often
- Run a medical specialty practice and want a consultant with published experience in your specialty
- Need legal advice on a contract, lease or practice sale: that needs an attorney
- Only need one narrow service (for example tax returns alone) and want a specialist firm
Questions to ask before you hire a practice consultant
- Who exactly will work on my practice, and what is their background in dentistry or healthcare?
- For accounting and tax work, who is the licensed CPA, and can I see the license?
- How is the fee set: monthly retainer, hourly, per project, or a percentage? What is included?
- How long is the commitment, and how do I end it?
- What will the first analysis cover, and will I get a written report and plan?
- Can you give me references from two or three dental practices like mine?
- For marketing, who owns the website, ad accounts and content if we part ways?
- For staffing, what does permanent placement cost, and is there a replacement guarantee?
- For a build-out, how are you paid, and do you receive anything from the contractors you recommend?
How to get started
- Read the services page and pick the areas you want help with.
- Gather what the firm will ask about: recent financial statements, your current staffing, and your goals for the next year or two.
- Book a consultation through the contact page, call (703) 345-0606, or email info@cisorconsulting.com.
- Ask for a written scope and fee before work begins.
Terms you'll see on the site
- Cisor Metrics: the firm's own name for its practice analysis and the KPIs it builds from your financial data.
- KPI: key performance indicator, a number used to track how a part of the business is doing.
- Chart of accounts: the list of categories a business uses to record income, expenses, assets and debts.
- Credentialing: the process of getting a dentist approved by insurance companies so the practice can bill them in network.
- Build-out: fitting out an existing space as a dental office, as opposed to new construction.
- Internal recruiting: filling a role by promoting or retraining a current employee.
- Referral-based vs payroll-based placement: Cisor's two temporary staffing options; the difference is whether your practice or Cisor is the worker's employer.
- W-2 vs independent contractor: whether an associate is an employee (taxes withheld, benefits possible) or self-employed.
- CE: continuing education, the courses dentists take to keep their licenses current.
