Overview

Healthcare software lives or dies on two things: whether it fits the clinical day, and whether it protects patient data

Clinicians already spend too much time in screens. A new tool that adds clicks to a visit will be ignored, however clever it is. Patients, meanwhile, want to book, complete forms and get answers without calling. The useful projects are usually focused: a digital intake that feeds the EHR, a scheduling or waitlist tool, a referral portal for other providers, a dashboard that pulls numbers from billing and scheduling, or a careful AI feature that drafts paperwork for a clinician to check.

We build those tools as web and mobile apps and integrations that work with the EHR and practice management systems you already run. We design for the front desk and the clinician first, and for privacy throughout.

This page is about software. For practice websites and patient marketing, see our healthcare marketing and medical practice pages.

What makes this hard

What makes healthcare software different

Health data carries legal duties, clinical systems are hard to integrate with, and the people using the tool are short on time. Each of these shapes the build.

  • Every vendor touching PHI needs an agreement

Under 45 CFR 164.502(e), a covered entity may let a business associate create, receive, maintain or transmit protected health information only with satisfactory assurances, usually a business associate agreement. That includes hosting, email and analytics vendors.

  • Not every health app is under HIPAA

Consumer health apps outside HIPAA can still fall under the FTC's Health Breach Notification Rule. Knowing which regime applies is the first design decision.

  • EHR integration is uneven

Many EHRs offer APIs, often based on the FHIR standard, but what each vendor exposes, and how you get access, differs. We check your vendor's options before promising a feature.

  • Trackers can leak health data

Analytics, chat and advertising tools on logged-in or booking pages can send what a patient does to third parties. We keep them off screens that handle health information.

  • Clinicians have no spare clicks

If a tool adds steps to a visit, it won't be used. Design starts by watching the front desk and the exam room, not from a feature list.

How we work

How we build healthcare software that clinicians use and patients trust

We begin with the workflow. We sit with front-desk staff, clinicians and billers to see where time goes and where data gets re-typed, then design the smallest tool that removes that step.

Privacy shapes the architecture. We collect the minimum data, run on hosting and services that will sign a business associate agreement, encrypt data at rest and in transit, log access, and keep third-party trackers off patient screens. We document all of this so your privacy officer can review it; our guide to what HIPAA expects of software explains the main safeguards.

AI features are added with care. A model may draft a referral letter or summarize intake answers, but a clinician reviews and signs, the AI runs only on services covered by an agreement, and we log what it produced.

The process

How the work runs

Four stages, so privacy obligations and EHR access are confirmed before building.

  1. Workflow and privacy review

We map the clinical and front-desk workflow, the data involved, and whether HIPAA or other rules apply.

  2. Scope and design

We confirm EHR integration options, agree the first release and test designs with staff.

  3. Build and test

We build on covered infrastructure, test with synthetic data, and pilot with one team or location.

  4. Launch and support

We train staff, monitor the system and keep integrations working as vendors update.

Businesses grow with eSEOspace

★★★★★

“Since beginning work with Irina and her staff at eSEOspace our internet activity has really begun to lift off. We had lots of issues with our site and the site was built several years ago. Irina found the problems, created a plan to fix them, and has since been implementing the plan to drive traffic to our site. Give them a call — they are a great company to work with!”

“After quickly exiting a previous marketing contract and needing to hit the ground running, the swift and capable onboarding with eSEOspace was exactly what we needed. Six months in, it's been a completely different experience. Irina and her team bring a level of attention to detail and consistency that you rarely find. FAQ

Questions practices and health startups ask

Will you sign a business associate agreement?

If our work involves access to protected health information, we sign a business associate agreement with you. We also make sure hosting, email and other services in the system will sign one.

Will the software meet HIPAA?

HIPAA compliance belongs to your organization, its policies and its vendors, not to a piece of software alone. We build the technical safeguards the Security Rule expects, such as encryption, access control and audit logs, and document them for your review.

Can you integrate with our EHR?

Often, through the EHR's APIs or approved integration partners. Access and data vary by vendor, so we confirm what yours offers during discovery.

Do you build medical devices or diagnostic AI?

No. We build portals, workflow tools, integrations and administrative AI features. Software that diagnoses or treats can be regulated as a medical device and needs specialist teams.

How long does a project take?

A focused intake or scheduling tool can take a few weeks; a patient portal with EHR integration takes a few months. You get a timeline after discovery.

What does custom software cost?

It depends on scope, integrations and how much of the work is new versus connecting what you already have. Our pricing page lists our plans and lets you estimate a custom build. Request a proposal above and we will quote from your actual requirements.

Wondering what this costs? Every service has published pricing — no discovery call required to see it.
