Meeting Notes to Tasks with MCP: A Step-by-Step Playbook

This playbook is part of our MCP playbooks, within The MCP Guide. Want help setting it up for your team? Request a free MCP readiness review.

After most meetings, someone has to turn the discussion into tasks with owners and dates. That person is often whoever ran the meeting, and the job slips when the week gets busy. With MCP (Model Context Protocol), an AI app can read the meeting summary or transcript from your meeting tool and draft tasks in your task tool, then wait for you to approve them.

This playbook covers three documented paths: Zoom (Meetings plus Zoom Tasks), Loom with Jira through Atlassian's server, and monday.com's notetaker. All were checked against vendor docs on 28 October 2026. eSEOspace did not test these servers.

Key Takeaways

  • Zoom's Meetings MCP server has a get_meeting_assets tool for AI summaries, transcripts and recordings, and Zoom Tasks has create_task.
  • Atlassian's server reads Loom transcripts and "AI meeting action items" and can create Jira issues with createJiraIssue.
  • monday.com's get_notetaker_meetings returns notetaker meetings with summaries and action items.
  • Microsoft's Teams MCP tools are legacy, and Microsoft says they shouldn't be used in new projects.
  • The AI should propose tasks; a person confirms owners, dates and wording before anything is created.

What you need

Pick one source of notes and one place for tasks. Each pair below uses a single vendor's docs.

PathRead the notesCreate the tasks
ZoomMeetings server: search_meetings, get_meeting_assetsTasks server: create_task, add_tasks_assignees
Loom and JiraAtlassian server, read_loom groupAtlassian server: createJiraIssue (write_jira)

Zoom. The Zoom Meetings MCP server page lists 8 tools at https://mcp.zoom.us/mcp/meeting/streamable. It says get_meeting_assets (scope meeting:read:assets) covers "AI summaries, transcripts, recordings, whiteboards, documents, etc." The Zoom Tasks MCP server page lists 20 tools at https://mcp.zoom.us/mcp/tasks/streamable, including create_task (tasks:write:task). Zoom's connection guide says you must create a General app in the Zoom App Marketplace, because Zoom does not support Dynamic Client Registration. See our Zoom MCP server profile.

Loom and Jira. Atlassian's Loom MCP tools page says read_loom covers "video lists, shared videos, workspace folders, video metadata, transcripts, AI meeting action items." Your Loom workspace must be linked to an Atlassian Cloud site. Atlassian's supported tools page lists getLoomObjectsContent and listLoomObjects for reading, and createJiraIssue for new Jira work. See the Loom MCP server and Atlassian MCP server profiles.

monday.com. The Platform MCP tools page lists get_notetaker_meetings, which "retrieves notetaker meetings with summaries and action items." See the monday.com MCP server profile.

Microsoft Teams. We do not recommend the Teams server for this playbook. Microsoft's Teams tools reference says the app-specific Microsoft 365 MCP tools "shouldn't be used in production environments or new projects" and points new projects to Work IQ MCP.

The workflow

  1. Find the meeting. On Zoom, the AI calls search_meetings. On Loom, it calls listLoomObjects. On monday.com, get_notetaker_meetings lists recent notetaker meetings.
  2. Read the summary first. Ask for the AI summary or action items before the full transcript. On Zoom that is get_meeting_assets. On Loom it is getLoomObjectsContent. Summaries are shorter and contain less sensitive side talk.
  3. Draft a task list in chat. Ask for a table: task, owner, due date, source quote. Nothing is written to any system yet.
  4. Fix it by hand. The meeting owner corrects owners, merges duplicates and deletes anything that was an idea, not a decision.
  5. Check for existing work. On Zoom, get_my_tasks lists your tasks. In Jira, searchJiraIssuesUsingJql finds open issues with similar titles. This avoids duplicates.
  6. Create the approved tasks. Zoom: create_task, then add_tasks_assignees. Jira: createJiraIssue, which matches Atlassian's own example prompt, "Create five Jira work items from these meeting notes." monday.com: create_item, then change_item_column_values for owner and date.
  7. Link back to the source. Ask the AI to add the meeting link or Loom URL to each task description, so anyone can check the context.

Example prompts

  • "Find yesterday's Zoom meeting called Website Kickoff and show me its AI summary. Don't create anything."
  • "From that summary, list every action item as a table with task, owner, due date and the sentence it came from."
  • "Search Jira for open issues in project WEB that look like these items, so we don't create duplicates."
  • "Create these four approved items as Jira issues in project WEB, one at a time, and show me each before you submit it."
  • "Get the action items from my latest monday.com notetaker meeting and add them as items to the Follow-ups group on the Client Projects board."

Guardrails

  • Use the smallest scopes. Zoom lists one OAuth scope per tool. For the reading step, meeting:read:search and meeting:read:assets are enough. Leave out meeting:delete:meeting and other write scopes you don't need.
  • Approve each create. The MCP tools specification says there should always be a human in the loop who can deny tool invocations. New tasks notify people, so approve them one by one.
  • Treat transcripts as untrusted. A transcript is text spoken by other people, sometimes outside your company. It can contain instructions aimed at the AI. Read MCP prompt injection.
  • Watch Loom sharing. write_loom can change a video's viewing permission to Public. Grant read_loom only for this playbook.
  • Think about where transcripts go. Pulling a transcript into a chat sends it to your AI provider. Check your AI provider's data terms before you do this with client calls.
  • Keep commitments human. The AI can draft an owner and a date. Only the meeting owner should confirm them.

The MCP security hub has more controls.

What to measure

  • Time from meeting end to tasks created.
  • Share of drafted tasks the reviewer kept, edited or deleted.
  • Duplicates created despite the check step.
  • Tasks with no owner or date after a week.
  • Rate-limit errors. Zoom says MCP limits are applied at the account level and shared with its Open APIs.

Next step

More guides like this sit in the MCP playbooks hub. If your meeting and task tools don't have an official server, eSEOspace can scope one through MCP development.

Frequently asked questions

Which meeting tools have official MCP servers for notes?

As of October 2026, Zoom documents get_meeting_assets for AI summaries and transcripts, Atlassian documents Loom transcripts and AI meeting action items, and monday.com documents get_notetaker_meetings. Microsoft's Teams tools are legacy and not advised for new projects.

Can the AI join the meeting and take notes itself?

Not through these servers. They read notes, summaries and transcripts that the meeting tool has already produced. Note-taking is done by the meeting product.

Do I need Zoom admin rights?

Zoom's connection guide lists a Zoom account with admin or developer authorizations, credentials and licenses for the products you connect. You also create your own Marketplace app, because Zoom does not support dynamic client registration.

Can tasks go into a different tool from the meeting notes?

Yes. Connect two servers in the same client, such as Zoom for notes and Jira for tasks. Keep each server's scopes tight and approve every create call.
