Best AI Agents for Small Business: 8 Tools for Real Jobs

This article is part of our AI Agent Guides. See how models compare this week on the AI Agent Leaderboard, a ranking of rankings refreshed every week.

The best AI agent for a small business does one job you already pay for, such as answering calls or replying to customers. Start with Zapier Agents for automation, Smith.ai for phones, or Tidio Lyro for website chat. The AI assistant in your office suite is another easy start.

An AI agent is software that can plan steps and take actions with your tools, not just answer questions. That extra power is why you should buy for one job first. Gartner predicted in June 2025 that over 40% of agentic AI projects would be canceled by the end of 2027. It cited cost, unclear value, and weak risk controls.

How we chose

  • We read vendor documentation and pricing pages. We did not run our own tests.
  • Each product had to be something a business without developers could start using.
  • We favored a public price or a free way to start. Small businesses should not need a sales cycle for a first trial.
  • We looked for clear limits: what a credit buys, what the plan caps, and what data rules apply.
  • We covered different jobs on purpose. The numbering here is not a ranking.
  • We do not state model positions, because they change weekly. See the current AI agent leaderboard for those.

Zapier Agents logo1. Zapier Agents: the easiest way to connect your apps

Best for: Owners who already live in several cloud apps and want routine work handled between them.

Price: Agents are free to start. Zapier's pricing page lists 400 agent activities a month on Free and 1,500 on Pro. Paid agent plans start at about $33.33 a month billed annually.

Zapier bills agents in activities, not the tasks it uses for regular automations. Each action, web search, knowledge answer, or trigger use counts as one activity. That makes costs easier to estimate once you know how many steps a job takes.

A typical use is a new lead arriving by form, then getting researched, logged in your CRM, and sent a draft reply. Zapier also describes agents as AI teammates built on its app connections. The connections are the real value here, because an agent can only act where it has access.

Where it falls short: A run caps at 10 activities on Free and 40 on paid plans, then the agent asks before continuing. The pricing page did not mention a HIPAA option or BAA, so do not assume health data is allowed.

Our take: This is the safest first agent for most owners. Start with one low-risk flow and keep a person approving anything that leaves the building.

Lindy logo2. Lindy: a custom assistant without code

Best for: Owners who want an assistant for email, scheduling, and admin follow-ups.

Price: Lindy's pricing starts at $49.99 a month per active user for 5,000 credits. New accounts get $50 in free credits for 7 days, and top-ups cost $10 per 1,000 credits.

Lindy suits repeated admin work that needs some judgment, like sorting requests and drafting responses. You describe the job and connect your accounts. Credits are pooled across the team, which helps when one person runs most of the work.

Credit pricing is the part to watch. Complex tasks use more credits, so your monthly cost depends on how you design the work. Run a realistic week during the free period and read the usage figures before you commit.

Where it falls short: Lindy lists "HIPAA compliance and signed BAA" under Enterprise only. Medical practices should not treat the Team plan as suitable for patient data. Every active user is billed, which adds up on larger teams.

Our take: A good choice for one busy owner with a messy inbox. It is less attractive if you only need one simple automation, which Zapier covers for less.

3. ChatGPT Business: general work plus team agents

Best for: Teams that want one assistant for writing, research, and analysis, with some shared agents.

Price: OpenAI's business pricing page lists a standard seat at $20 a month billed annually or $25 monthly. A premium seat is $100 annually or $125 monthly.

The plan includes ChatGPT and Codex, connectors for Google Workspace, Slack, GitHub, and Microsoft 365, and workspace agents for customized workflows. OpenAI says it does not train on business data by default on this plan. That default matters if staff paste in customer or financial details.

This is a broad tool, not a finished solution for one job. Someone on your team still needs to define what the agent does and check the results. Treat it as a capable employee with no knowledge of your business until you teach it.

Where it falls short: It is built for teams of 2 to 200, so a true solo owner should compare individual plans. OpenAI also says plan usage will share one limit across ChatGPT and Codex starting in December, so heavy coding could eat into office use.

Our take: A sensible default for general office work. Pick it if your team is already comfortable with ChatGPT and you want agents without a new vendor.

Claude Team logo4. Claude Team: long documents and careful analysis

Best for: Teams that work with long contracts, reports, spreadsheets, or code.

Price: Anthropic's pricing page lists a standard seat at $20 a month billed annually or $25 monthly. A premium seat, with five times the usage, is $100 annually or $125 monthly.

The Team plan includes Claude Code, an agent for technical work, and Claude Cowork, which handles tasks beyond chat. It also adds single sign-on, central billing, and no model training on your content by default. Our guide on Claude Code for small business owners shows the kind of work it can handle.

Think of Claude as a general tool you direct, like ChatGPT Business. It is not a done-for-you receptionist or support desk. Which one suits you depends more on your work and your staff's habits than on a list of features.

Where it falls short: Usage is capped, and heavy users may need premium seats. It has no built-in phone line or customer inbox, and connecting your own systems takes setup. It is sold for teams of 2 to 150. The plan table has a separate HIPAA-ready row, so check it before handling patient data.

Our take: Worth testing if your work is document-heavy or technical. Try the same real task in Claude and ChatGPT before you pay for both, and compare the output yourself.

Microsoft 365 Copilot Business logo5. Microsoft 365 Copilot Business: the Microsoft shop's default

Best for: Businesses whose email, files, and calendars already sit in Microsoft 365.

Price: Microsoft's Copilot plans page shows the Business add-on from $18 a user per month, down from $21, paid yearly. A bundle with Business Premium was listed at $32 a user per month.

The appeal is location. Copilot works where your staff already are, in Outlook, Word, Excel, and Teams. Microsoft lists pre-built agents for research and data analysis among the included features.

If your data is already in Microsoft 365, setup is mostly about permissions. Check them first. Any assistant that can search your files makes old, overshared folders much easier to find.

Where it falls short: It is an add-on, so you need a qualifying Microsoft 365 plan. It is an annual, auto-renewing subscription, and Microsoft notes usage-based billing for select advanced AI features. Budget for more than the sticker price if you plan to use them.

Our take: Choose this if you are already on Microsoft and want low-friction help across documents. Do not switch your whole office suite just to get it.

6. Google Workspace with Gemini: included help for Gmail businesses

Best for: Small teams already on Gmail and Google Docs.

Price: Google Workspace pricing starts at $7 per user per month, with Standard at $14. The page was also showing a 30% discount for the first three months on some plans.

Google lists a Gemini AI assistant in Gmail and AI chat in Gemini as plan features. It also states that your company data is not used to train models. For many small businesses, this is the cheapest way to get AI help into daily email.

This sits closer to the assistant end of the scale than the agent end. It helps a person draft, summarize, and find things. It is less suited to running a multi-step job across other companies' apps without you.

Where it falls short: Plan limits on storage and meetings still apply, and the features vary by tier. If you need work to happen across non-Google apps, pair it with an automation tool.

Our take: If you are already paying for Workspace, use what you have before buying anything else. It is often enough to show you which job deserves a real agent.

Tidio Lyro logo7. Tidio Lyro: website chat on a small budget

Best for: Small stores and service businesses that get repeat questions on their website.

Price: Tidio's pricing lists Starter at $24.17 a month billed annually, with 100 billable conversations. Your first 50 Lyro conversations are free for life, then monthly limits can be raised.

Lyro answers from your own content and hands off to your team when needed. Tidio says Lyro connects with Zendesk, Intercom, Salesforce, and 20+ other platforms, so you may not have to replace your current help desk. That matters if you already have one you like.

Good answers depend on good source content. Write down your shipping, returns, hours, and pricing rules before you turn it on. The agent cannot give the right answer to a question your own website never settles.

Where it falls short: The 50 Lyro conversations on Starter are a one-off allowance, not monthly. Real volume means paying for a larger Lyro quota, so model your conversation count first. Tidio's stated resolution average is a vendor figure, so measure your own.

Our take: A low-risk way to learn what a support agent can do. If support becomes a major cost, compare options in our list of AI customer support agents.

Smith.ai AI Receptionist logo8. Smith.ai AI Receptionist: for businesses that miss calls

Best for: Local service businesses and professional practices that lose leads to voicemail.

Price: Smith.ai's plans include a free tier with 25 calls a month and $3 per call after that. Pro is $150 a month, at $2 per call for 75 calls.

The AI answers 24/7, qualifies leads, routes calls, and books appointments through scheduling tools. It records and summarizes each call. Smith.ai also offers a tool to test the agent before you go live, plus hybrid and human-first plans.

This is one of the easiest agents to justify, because a missed call has a clear cost. Count how many calls you miss now, then estimate what one new customer is worth. That simple sum tells you whether the per-call price works.

Where it falls short: Per-call pricing punishes high call volume and spam calls, so ask how robocalls are counted. Tell callers honestly how they are being answered, and check your state's rules on recording calls.

Our take: If your phone is your main lead source, start here. It gives you a measurable result faster than a general assistant will.

How to choose

Choose by the job, not the product. Ask three questions before you sign up for anything.

  1. What is the one job? Pick something frequent, annoying, and low risk. Missed calls, repeat questions, and data entry are good starts.
  2. What can go wrong? A wrong draft is cheap. A wrong refund, a wrong quote, or an email sent to your full list is not. Our guide to human approval for agent actions gives you a decision table.
  3. How will you measure it? Pick one number before you start, such as calls answered or hours saved. Then use our scorecard for trialing an agent on your own work.

Next, check the data rules. Avoid putting customer, health, or financial data into any tool until you have read its plan terms. Check who can see what, and limit each agent's access to what the job needs.

Watch for what Gartner calls "agent washing", where existing chatbots and assistants get rebranded as agents. It estimated only about 130 of thousands of vendors were real. Ask any vendor what the product does without a human prompt.

If none of these fit, a custom connection may be cheaper than a stack of subscriptions. Talk to our team about what would be worth building.

Frequently asked questions

What is the cheapest AI agent for a small business?

Several tools have free entry points. Zapier Agents has 400 free activities a month, Smith.ai has 25 free calls a month, and Tidio gives you 50 free Lyro conversations. Free tiers suit testing, but real use usually pushes you into a paid plan.

Do I need a developer to use an AI agent?

Not for the tools on this list. All eight can be started without code. You will still need someone to write clear instructions, connect accounts, and review the output. A developer becomes useful when you need access to your own systems.

Which AI model is the best one for agents?

That changes often, so we do not state it in this article. See the overall leaderboard for current positions and the methodology page for how they are calculated. For most small businesses, the product's fit with your job matters more than the model inside it.

Is it safe to give an agent access to my email and customer data?

It depends on the plan terms and the permissions you grant. Give the smallest access that does the job, and require approval before anything goes out. Our article on agent security risks explains prompt injection and data exposure in plain English.

Can an AI agent replace an employee?

Usually it replaces parts of a job rather than a whole role. Agents do well on repeated, well-defined tasks, and they still make mistakes that someone must catch. Budget for review time when you compare costs.
