Shopify now handles more of the returns process natively than many store owners realize. From the admin you can create returns, add exchange items, charge restocking and return shipping fees, buy return labels for US orders, and refund to the original payment method or to store credit. With self-serve returns turned on, customers can request a return from their account without emailing you, and return rules decide which items qualify and for how long.

What Shopify handles natively

Shopify's returns and exchanges documentation separates three actions: a refund sends money back, a return brings items back (with optional labels and tracking), and an exchange sends replacement items. You can do all three from an order in the admin.

Creating a return

From the order page, you choose the items and quantities, select a return reason, and pick a return shipping option: create a return label in Shopify, upload a label you bought elsewhere (PDF, PNG or JPEG, or a URL, plus tracking), or mark the return as needing no shipping. Return reasons vary by product category, so apparel shows options like "Too big" and "Too small," which makes your returns data more useful.

Some rules to know:

  • You can create a return only for fulfilled items that haven't been refunded.
  • A refund without a return doesn't record a return reason, so create the return first if items are coming back.
  • Staff need the Return permission to create returns and a refund permission to refund them.

Exchanges

You can add exchange items to a return in the admin. Shopify then calculates the financial outcome: if the new items cost less, you refund the difference; if they cost more, the customer owes the balance and you can send an invoice; if they're equal, it's an even exchange. Limitations include:

  • You can't add custom items as exchange items.
  • Inventory for exchange items isn't reserved until you process the return.
  • Order-level discounts can't be applied to exchange items, though you can add a product discount.
  • You can't add exchange items to orders with duties.

Refunds and store credit

When you process a return, you can refund to the original payment method or to store credit, depending on staff permissions. Refunding to store credit keeps the money in your store, which is the main thing many returns apps sell. Customers spend store credit online when signed in through the current version of customer accounts or using Shop Pay. Self-serve returns and cancellations

Self-serve returns let customers submit return requests (for delivered items) and cancellation requests (for items not yet shipped) from their account. You approve or decline each request, and when you approve a return you can add exchange items, give shipping instructions and send a label.

Requirements and limits, per Shopify's setup guide:

  • Customers sign in with customer accounts. Self-serve returns don't work with legacy customer accounts, though you can add the customer accounts URL to your footer or refund policy as an entry point.
  • Customers can't request exchanges through self-serve returns, and you can't create exchange-specific return rules.
  • A request can include up to 250 line items.
  • The feature applies to all orders, including B2B orders; you can't turn it on for some order types only.
  • If you have retail locations, customers who buy through the Shop app can return items in store when you activate that option.

Return rules

Return and cancellation rules apply automatically to new orders. Return rules cover fulfilled items; cancellation rules cover unfulfilled items. You can set:

  • Return window: a preset or custom number of days, starting from each item's delivery or from delivery of the last item in the order, with an option to extend windows that end on weekends or holidays.
  • Return window overrides: longer or shorter windows for specific collections, products or variants. If an item falls under more than one override, the shortest window wins.
  • Return shipping cost: free, a flat fee charged once per return, or customers buy their own label.
  • Restocking fee: a percentage of the return.
  • Final sale items: products or collections that can't be returned or canceled. Bundles can't be set as final sale.
  • Per-market rules: different rules for different markets.

Three details catch merchants out. First, return fees aren't automatically deducted from refunds; you subtract them manually when you create the refund. Second, rule changes apply only to future orders. Third, using return rules with Shopify POS requires POS Pro. Shopify also notes that, starting 23 October 2026, tax is calculated on return shipping fees for orders shipped to US addresses when you use Shopify's tax services and the fee is taxable there; restocking fees aren't taxed.

For EU customers, Shopify advises a return window of at least 14 days that starts from delivery of the last item. If you use Managed Markets for the EU, compliant cancellation and return policies apply automatically to those orders. Return labels

If you ship from a US location, you can buy return labels from USPS, UPS or FedEx in the admin at Shopify's discounted rates. Key facts:

  • Return labels are available only for US domestic orders, not for APO/FPO/DPO addresses, US territories that need customs forms, or international addresses.
  • Billing is pay-on-scan: you're charged only when the carrier scans the package, so unused labels cost nothing.
  • Labels expire if unused: USPS after 1 year, UPS after 6 months, FedEx after 90 days. The UPS label URL expires after 30 days.
  • Labels are created per order, not per item, so adjust the weight for partial returns.
  • The final charge can differ from the estimate if the package is heavier or larger than entered.

Native returns cover a single-warehouse US store with modest volume well. Consider an app when you need:

  • Customer-initiated exchanges. Native self-serve returns don't let customers request exchanges. Exchange flows (including "shop now" exchanges for a different product) are the headline feature of most returns apps.
  • Incentives to keep the revenue. Bonus credit for choosing store credit or an exchange over a refund.
  • International return labels or carriers beyond USPS, UPS and FedEx.
  • Warehouse and 3PL workflows: packing slips, item validation, ERP integrations, or returns to multiple locations.
  • Fraud and abuse rules: limits on serial returners, or rules by order value or customer history.
  • Returns analytics by product and variant, so merchandising can fix the cause (sizing, photos, descriptions).

How to evaluate a returns app

  • Pricing model. Returns apps usually price by returns per month, with a per-return charge above the plan. Estimate your monthly returns in your busiest month, including the weeks after holiday sales.
  • Built for Shopify. Shopify announced new Built for Shopify requirements specifically for returns and exchanges apps, taking effect 1 December 2026. The badge is a reasonable filter, but check what it covers.
  • Compatibility with native returns. Good apps create returns in Shopify's own returns system, so reports, inventory and refunds stay consistent. Ask how the app records returns and restocks inventory.
  • Customer accounts. Check whether the portal works inside customer accounts or on a separate page.
  • Label coverage. Which countries and carriers, and who pays (you, the customer, or a shopper-funded option).
  • Integrations. Your 3PL, help desk, email platform and, if relevant, ERP.
  • Exit plan. Can you export return history if you switch?
